Overview

CaseIT is an international undergraduate Management Information Systems (MIS) case competition hosted by Simon Fraser University, bringing together teams from around the globe to solve real-world business challenges. Throughout the 6-day event, schools from around the world are treated to network with industry leaders, engage with technology, and receive the highest level of hospitality from SFU.

As Technology & Production Coordinator, I managed tech procurement, event setup, and A/V execution while ensuring seamless live-streaming of the competition via YouTube Live. I also developed a mitigation and contingency plan to address potential technical issues, ensuring a smooth and professional event experience.

Event Execution & Setup

As a Technology Coordinator, I assisted the event execution team in managing the competition week logistics. Leading up to the event, I helped with venue inspections, layout planning, contingency preparation, and tech equipment procurement, ensuring seamless operations.

During the event, I was responsible for A/V execution, tech support, and setup/takedown, including practicing slide transitions and troubleshooting equipment. Working in a fast-paced, team-oriented environment, I contributed to the smooth execution of the competition.

Event Livestream

As CaseIT is an international case competition hosting universities from around the world, livestreaming played a pivotal role in connecting competitors with their friends and family while also providing them with a reference to review and improve their performance.

Alongside the Technology Director, I took on the responsibility of executing the livestream for the final presentations and awards banquet. The event was broadcasted on YouTube, and the stream can be accessed via this link.

A/V Procurement & Contingency Planning

Beyond event execution, careful preparation was essential to ensure smooth operations. This included creating Excel files to manage A/V procurement, scheduling, and contingency planning. These plans helped mitigate technical risks, ensuring that all equipment and backup solutions were in place for the event.

Reflection

Working with CaseIT was an invaluable opportunity to apply my passion for technology, event production, and problem-solving in a fast-paced, high-stakes environment. This role gave me a deeper appreciation for the effort and coordination required in event production, from the meticulous planning stages to real-time troubleshooting. Balancing multiple responsibilities under tight deadlines refined my problem-solving, adaptability, and project management skills.

I was able to achieve the following during my time with CaseIT:

  • Executed livestreaming for the final presentations and awards banquet, ensuring global accessibility for competitors’ friends and family.

  • Set up and managed A/V equipment, ensuring high-quality visuals and sound throughout the event.

  • Troubleshoot technical issues in real time, implementing contingency plans to keep the event running smoothly.
